Ok, here is the deal

Mike and I went to the hotel again.

We can probably host about 75 people there with no problems before we even have to push out into a hotel room (if needed)...

The main room has a "limit" of 51, but could easily hold 60+. We are also allowed to use the "breakfast" area after 10AM, and it can seat ~25 and we are allowed to push tables together or setup tables...

My only concern was IF there was any issues with "fire code", and we were forced to keep only 51 in the main room ... so even IF we are forced to 51, we have room in the breakfast room right next door for 25 more.... I don't think the manger cares how many we put in any room (just if the fire marshal drops by or something)

I don't see it being a problem at all

There are even some large round tables and chairs at the indoor pool which is down the hall 50 yards, which is usable if we had even more over flow.

We have also rented an Extended King room which has a large seating area, so a game of 6-8 could be moved to a room if it got even larger... We also rented a 2 room suite with room for 6-8 more as well...

Again, I don't see any major problems.

The MAIN problem with over 50 is this:

I am having to supply all the food/drinks at the Grillin on Sat, and the cost for the bus ride... so it's $20.00 for the food if not in the first 50, sorry but I am going broke

Also, the bus only holds 56 people. Now I know I won't be on the bus since I have to leave early to start getting food ready, Mike will also not be on the bus since he'll be heading back early.. so the bus will have room for 56 without us 2 and there are 2 that are not going to the Grillin.. that said, if up to 60 register, the bus we have will be fine... (and I would think some could stand if they had to.. it's about 10 miles or a ~20 min ride)

Same goes for Sunday breakfast.. I am footing that bill, so over 50 and I don't pay for breakfast... though we only have about 46 signed up for breakfast ...

Hope that helps... please do not NOT come thinking you won't get to play... there will be plenty of room for playing...

You won't owe anything. The main thrust is that we have far more than expected, so Doug did a cut off at attendee #50 when it comes for paying for meals...anyone beyond that will have to pay for the BBQ and breakfast, which is still quite a deal.  But like he said it's gone from a small cookout to a block party...  If you really want to help, BUY SOME RAFFLE TICKETS!  All the stuff we are donating for the raffle we got cheap or free, so that is money back in Doug's pocket for every ticket sold. And thanks once again to everyone that donated.

Btw, after looking at the meeting room, it looks very adequate to host all the games we want, not to mention we discovered a totally unknown side "storage" room off the gaming room that is big enough to hold an entire table and players...a little cozy, but a group of 5-6 would fit just fine, and have the option of closing the doors also if they wished.

And yes the breakfast room could seat an extra couple or dozen or so without a hitch...and the tables are large enough that two pushed together would give a great area for a boardgame or small D&D game.

The management of the hotel are EXTREMELY happy to host us and very accomodating...I got the impression that anything we wanted within reason would be ok.  They even promised to get the snack and soda machines filled up before that weekend...!

I would definitely invoke the "Cover King with a tarp and kick the shit out of him" code if that happened....

Funniest thing from yesterday, when the very nice and efffusive hotel manager was showing us around, he told us "Be sure everyone brings their swim trunks, we have a really nice pool".  And I was thinking "Man, if you got a glimpse at what most of us look like in our swim trunks, you would lock up the pool area for that weekend"....

On a separate note....Saturday morning is going to be awful.  I want to play in all three games but I have to pick only one.  How do you choose between another classic Tegel adventure with Al, Jon Hershberger's Wilderlands game, and Allan Grohe's take on Castle Greyhawk???

This is one of the few times in my life I'm glad I have no decision to make...honestly, I would be tempted to enter at least two, and just jump back and forth from table to table......

Oh, and the room is very large, high ceiling and airy.  Shouldn't be any "gamer funk" issues unless some idiot doesn't take a shower all weekend....

My advice is to bring plenty of clean clothes, cologne and Gas X...

actually....nobody might want to play in my game, in which case, i can just play in one of the others instead! sorted
